Responsibilities

  • Exhibits superior customer service skills.
  • Greets patrons of The South Bend Clinic.
  •  Seeks out opportunities to inform, direct, and educate people on how to locate their desired location.
  • Promotes the physicians and services available at The South Bend Clinic.
  • When needed, facilitates travel arrangements for those in need of assistance.
  • Distributes brochures, handouts, and flyers when appropriate.
  • Serves as a Receptionist for Human Resource candidates.
  • Maintains current and accurate information on the lobby board.
  • Monitors all incoming and outgoing traffic at all main door entrances.
  • Exhibits computer systems knowledge and proficiency as necessary to perform job functions.
  • Takes initiative to seek out tasks and duties or to assist others as necessary.
  • Keeps main lobby area clean.
  • Knowledgeable of changes taking place within the organization.
  • Seeks out opportunities to stay informed.
  • Knowledgeable of all offices within the clinic and satellite offices.
  • Understands the other guest relations positions and is able to step in and assist as needed.
  • Ability to pass Guest Relation’s assessments.
  • Strong knowledge of the Code System.
  • Builds relationships with external transport services.
  • Exhibits computer systems knowledge and proficiency as necessary to perform job functions.
  • Demonstrates the attitudes and behaviors of The South Bend Clinic Service Standards.
  • Performs other duties as assigned when appropriate.
  • Adheres to HIPAA guidelines set forth in Clinic policies and procedures.

 

  • Main Campus Location essential functions:
    -Takes incoming calls for The South Bend Clinic by utilizing the switchboard to transfer calls to the appropriate department.
  • Day Rd Location essential functions:
    - Receives materials delivered to the Day Rd location by various vendors with exception of capital. Checking integrity on external packaging. If external packaging appears compromised, notifying the Buyer and assisting the Buyer to arrange return and replacement.
    - Research package details in system if not addressed appropriately.
    - Exhibits safe and proper lifting techniques at all times as instructed in annual competency training.
    - Requesting assistance for handling items over 50 pounds.
    - Delivers refrigerated supplies within one hour of receipt to the department keeping proof of delivery signatures from user departments.
    - Delivers supplies and equipment to departments in an efficient and timely manner when department designee is unable to.
    - Interacts directly with staff members at the user departments in a professional and efficient manner.

Qualifications

Education/Certification/License:

  • High school diploma/GED is required.

 


Knowledge, Skills, and Abilities:

  • Must possess a professional appearance and have the ability to meet and welcome people coming into the clinic.
  • Good communication skills are essential as is the ability to handle patients that may need special attention or services.
  • Must be dependable, punctual and able to conduct themselves in a matter appropriate for a healthcare facility.
